Image Research and Data Management Services Needed on a Tight Deadline Schedule

Our client is a leading US-based Professional and Educational publisher. Our client partners with students, educators, administrators and other professionals around the world to deliver engaging, adaptive and personalized solutions that improve performance and results.

Project Requirements

We provided Image Research and Data Management services for a middle-east country for K-12 books. We localized the images for our client for a volume of approximately 15,000 book pages (a total of 45 books and approximately 2,000 specs).

We had a strict deadline (2-4 business days) where 8-10 titles ran parallel. Additionally, we had to perform the following tasks and then submit the hi- res images and credits to the composition team, so that they could place the new images in 1st pass pages:

  • Review and analysis of the tearsheet manuscript & errata sheets provided by the publisher.
  • Enter data in the publisher data management system (1STEP).
  • Send image import log for review.
  • Create and send contact sheets to the publisher with spec import log for approval.
  • Create 2nd use and pickup specs, download hi-res images and create credit sheets.

Since these were middle-east school products with short TAT and our client was closed for work on Fridays, we optimized the working style to accommodate all 7 days of the week, to successfully achieve the deadline.

We came across the following challenges in Y1 T1 (Volume 1), but later on (Y1 T2-T3), we standardized certain things and met client’s expectations successfully.

  • Frequent changes in production workflows and processes.
  • Very short TAT for image research and data management as compared to the volume.
  • Issues with tracking information and emails due to the involvement of multiple vendors and third parties, plus multiple titles running parallel.
How we made this possible

How we made this possible

  • We had a discussion with the client; evolved a standard workflow at the mid of Y1T1 process, and deployed additional resources to accommodate the short TAT mandate. We captured the whole process – from phase 1 to the final delivery – and divided the timelines for each activity following the publisher deadline. We also shared a workflow chart with the publisher.
  • We conducted weekly calls and used a cloud-based tracking system for tracking the status of each book. This process ensured there were no bottlenecks.
  • We deployed a senior image researcher as a project coordinator who worked as a bridge in-between the Media and Asset team at the publisher’s end and MPS research team.
