A leading client from the UK was in the market for a cloud-based reviewing and editing tool. The tool would be used to reduce the production turnaround time (TAT) and provide role-based functionalities in an online format.  Authors, language editors, and copy editors were to work in tandem on the manuscript during the production process.

The MPS development team worked on the requirement and customized the product DigiEdit to suit the client’s requirements.

  • Setting up a cloud-based XML review/editing platform (MPS DigiEdit) for freelance language editors, production editors, and authors for journals and books.
  • Author manuscripts were being supplied in the TeX/LaTeX format for about 65% of the articles.
  • TAT reduction was required for all stages of production.
  • A combination of US-based onshore copyediting and offshore style editing were required for robust tracking and close coordination with freelancers and in-house editing teams.

DigiEdit  – An XML-based online content review and editing tool was customized for the client requirements. It enriched role-based functionalities for authors, reviewers, copy editors, proof collation, suppliers, production editors, and others. The design of the DigiEdit tool was customized to match the look of the client’s platform. Authors and affiliations, keywords, and reference forms were customized to suit the client’s needs. XML conversions, editing functionalities related to citations, and new rules for production editors were configured on the basis of the client’s requirement.

  • The MPS team worked with the client on the requirements and challenges faced and customized and implemented DigiEdit (online XML-based editing tool) for authors, language editors, and production editors.
  • Further, DigiEdit was tightly integrated with clients’ Workflow Management System (WMS) using Web services.
  • In fact, the WMS was developed and implemented by MPS for the clients to replace their legacy tracking system.
  • Extensive customization of DigiEdit was done and rolled out for authors.
  • A feedback survey was carried out by the client, which showed that over 84% of authors who used the DE proofing tool were delighted with it. The product also received excellent reviews from the authors.

There were big improvements in the workflow efficiency. Specifically, TATs for the production process and operational costs were significantly reduced (Correction charges were reduced to by around 60%).

TAT at proof corrections was reduced significantly – from 3 days to 1 day.

The quality of the corrections handling process was increased significantly as authors could directly carry out corrections in DigiEdit.

A significant reduction in efforts/overheads for production editors at the revision stage was observed.

Value-added services for authors through efficient proofing solutions, including handling of complex math, were provided, which helped the client immensely.
